Privacy Policy
This policy explains what personal data Leadly handles, why we handle it, and the choices and rights you have.

Who we are
Leadly provides an AI receptionist that answers enquiries, captures leads and takes bookings for small businesses. You can contact us at any time at general@getleadly.co.uk.
There are two kinds of people in Leadly, and our role differs for each:
- Businesses who sign up for an account. For their account data we act as the data controller.
- Customers who chat with a business through Leadly. For those conversations we act as a data processor on behalf of that business, which is the controller of its own customer data.
What we collect
- Account details: name, email address, phone number, business name, trade, address and opening hours.
- Conversation content: messages, voice notes and photos sent through the chat, plus any details a customer provides such as their name, phone number or email address.
- Booking and payment records: services booked, appointment times, deposit amounts and payment status. Card details are entered directly with Stripe and are never stored by Leadly.
- Technical data: IP address, device and browser information, and basic usage logs needed to run and secure the service.
Why we use it (lawful bases)
- To provide the service you asked for — running the chat, saving leads, confirming bookings and taking deposits (performance of a contract).
- To send service emails such as booking confirmations, cancellations, refunds and lead alerts (performance of a contract).
- To keep the platform secure, prevent abuse and improve how it works (legitimate interests).
- To send marketing emails, where you have opted in (consent). Every marketing email has an unsubscribe link.
- To meet legal and accounting obligations (legal obligation).
AI processing
Chat replies are generated by AI models using the business information the business has configured (services, prices, opening hours, FAQs) and the messages in the current conversation. Conversations are stored so the business can review them and so a returning customer can pick up where they left off. Do not share sensitive personal information — such as health, financial or identity details — in the chat unless the business has asked you for it and explained why.
Who we share data with
We use a small number of trusted providers to run Leadly. They only process data on our instructions:
- Cloud hosting and database providers, to run the application and store your data.
- AI model providers, to generate chat replies.
- Stripe, to process card payments and deposits.
- Our email delivery provider, to send transactional and notification emails.
We do not sell personal data, and we do not share it for advertising purposes.
International transfers
Some providers may process data outside the UK or EEA. Where that happens, transfers are covered by appropriate safeguards such as the UK International Data Transfer Addendum or Standard Contractual Clauses.
How long we keep it
We keep account data for as long as the account is active, and conversation, lead and booking records for as long as the business needs them to run its business, unless the business deletes them sooner. Records needed for tax and accounting are kept for the period required by law. When you close your account we delete or anonymise your data within a reasonable period.
Your rights
Under the UK GDPR and EU GDPR you can ask to:
- Access a copy of your personal data.
- Correct data that is wrong or incomplete.
- Delete your data where there is no ongoing reason to keep it.
- Restrict or object to certain processing, including direct marketing.
- Receive your data in a portable format.
- Withdraw consent at any time, where we rely on consent.
Email general@getleadly.co.uk and we will respond within one month. If you chatted with a business through Leadly, that business controls those records — we will pass your request on to them where needed. You can also complain to the UK Information Commissioner's Office (ico.org.uk).
Security
Access to data is restricted per business account, data is encrypted in transit, and payment card details are handled entirely by Stripe. No online service can promise perfect security, so please use a unique email address and keep access to your inbox secure — sign-in codes are sent by email.
Changes
We may update this policy as the service develops. Material changes will be notified by email or in the app before they take effect.
